This Privacy Policy describes how Gemini Timing LLC (“we,” “us,” “our”) collects, uses, and shares information in connection with Pacific Coast Triathlon (the “Event”) and the website at pacificcoasttriathlon.com (the “Site”). By registering for the Event or using the Site, you agree to this policy.

1. Information We Collect

Registration data — collected through our registration partner, RunSignup. This includes your name, address, email, phone, date of birth, gender, emergency contact, USAT membership status, and optional medical / dietary information. Payment information is handled directly by RunSignup and its payment processors — we do not store credit card numbers.

Site analytics — when you visit the Site we (or our analytics providers) may collect your IP address, browser type, device, pages viewed, referring URL, and approximate location. We use this to improve the Site and understand visitor traffic.

Communications — emails you send us (sponsorship inquiries, volunteer questions, support) are retained so we can respond and follow up.

Race-day data — chip-timed split and finish times, on-course and finish-line photographs taken by our timing and photography partners.

2. How We Use Your Information

• To operate the Event — confirm registration, assign bibs, deliver race-day logistics
• To communicate — registration confirmation, race week emails, weather updates, results, and post-event follow-up
• To publish race results and finish-line photos
• To send occasional marketing about future events (you can opt out at any time)
• To improve the Site, our race operations, and athlete experience
• To comply with legal obligations and respond to lawful requests

3. How We Share Your Information

We share information only as needed to operate the Event:

• Registration platform — RunSignup, who has its own privacy policy at runsignup.com
• Timing and results — Gemini Race Results and other race-day timing partners
• Photography — race-day photographers, who may publish your finish-line photos in a public gallery
• Charity partner — anonymized fundraising totals only; no personal data unless you explicitly opt in to support them
• Sponsors — anonymized participant statistics; we never sell your contact information
• Service providers — web hosting (SiteGround), email delivery, analytics — bound by confidentiality
• Legal — if required by law, court order, or to protect rights, safety, or property

We do not sell your personal information.

4. Cookies and Tracking

The Site uses cookies and similar technologies for essential functionality and, optionally, for analytics. You can disable cookies in your browser settings, though some features may not work correctly.

5. Your Rights

Depending on where you live, you may have the right to:

The Event accepts athletes of all ages; participants under 18 must register with parental consent. We do not knowingly collect data from children under 13 except through a parent or legal guardian during the registration process.

8. Changes to This Policy

We may update this policy from time to time. The “Effective” date at the top reflects the most recent version. Material changes will be announced via email to active registrants.
